Job responsibilities

This pivotal role provides comprehensive support and coordination to creative teams, ensuring the successful execution of visual merchandising (VM) projects. The individual will maintain direct communication with the VM Creative and Image Director, mastering all elements of the design process from inception to completion.

The Head of VM Projects Coordination will be highly people-oriented and an excellent communicator, with daily responsibilities including:

• Project Supervision: Oversee projects from the initial concept phase through final delivery.
• Brief Assessment and Designer Allocation: Evaluate VM Director briefs and strategically assign projects to designers based on expertise and workload.
• Quality Assurance: Conduct thorough proofing and review of designs and documentation prior to presentation to the VM Creative Director.
• Production Assistance: Provide support on the creative production side as needed, and facilitate feedback sessions with team members.
• Workflow Optimization: Establish and implement monthly deadlines, project goals, performance expectations, and streamlined workflows to ensure efficient production and on-time delivery.

Key Responsibilities and Areas of Focus:

• Project Cost Management: Monitor and analyze total project costs to assess overall profitability and identify opportunities for future cost optimization, particularly in cases involving multiple revision rounds.
• Time and Workflow Analysis: Critically evaluate time allocation for various tasks to identify and implement improvements in workflow processes.
• Studio Project Management:
• Develop, maintain, and ensure adherence to project schedules and plans.
• Negotiate and track budgets in collaboration with the finance team.
• Coordinate creative teams and processes to ensure projects are delivered on schedule, achieve desired artistic results, and maintain financial margins.
• Guarantee that all projects are completed on time, within scope, and within budget.
• Create and maintain comprehensive project documentation, including detailed notes, summaries, organized decks, and files.
• Coordinate internal resources and external third-party freelancers for flawless project execution. This includes sourcing, vendor selection, negotiation, and preparation of call sheets and roadmaps.
• Manage necessary procurement and ensure the smooth operation of the office and equipment.

This position requires an exceptionally organized individual with proven project management skills and a passion for excellence. The successful candidate will be responsible for empowering Creative Teams to deliver all creative projects to an outstanding standard, on time, and within budget, fostering effective cross-functional communication throughout the process.

The Role's Core Focus:

The head of VM Projects Coordination will primarily focus on coordinating the Creative Teams, serving as the central communication channel. This includes overseeing daily operations, managing timelines, coordinating assets, and ensuring teams have the necessary resources to perform their best work.

Specific Responsibilities Include:

• Monitoring, reviewing, and filtering all creative briefs to ensure clarity and thoroughness.
• Planning and monitoring resource allocation to workflow, and escalating any concerns to the VM Creative and Image Director.
• Maximizing the Creative Team's workload efficiency through process streamlining.
• Managing the internal digital asset management system (e.g., WARP), ensuring all content is current and accessible.
• Collaborating closely with Creative Team Project Leads to support the launch of new projects by managing and communicating creative workstreams within critical innovation paths.
• Supporting the packaging artwork approval process from concept through production, liaising with the Creative Teams.
• Supporting the team in delivering projects to the highest possible standard.
