Your Impact
As a Sales Administration Assistant at Efficy, you will be part of the Finance team and will play a key role in supporting the sales team ensuring seamless administrative and operational processes. Acting as a vital link between clients, Sales team, and internal departments, you will ensure the accuracy and consistency of administrative processes, contribute to efficient sales operations, and help maintain compliance with public procurement requirements.
This role is ideal for a detail-oriented and organized professional with excellent interpersonal skills who thrives in a dynamic, fast-paced environment.
Key Responsibilities
- Process newly signed quotes: create projects, invoice subscriptions, update pricing in internal databases, etc.
- Invoice all recurring contracts and service-related projects in a timely and accurate manner.
- Prepare renewal quotes for recurring contracts with purchase order.
- Collect unpaid invoices and follow up with the sales team to ensure timely collection.
- Manage customer access to products: provide, update, or remove licenses as needed.
- Gather necessary administrative documents and maintain consistency of the data into management tools.
- Maintain and update client records in the CRM system ensuring license records are accurate and reflect current contract terms.
- Respond to customer inquiries via email, providing initial assistance or redirecting requests appropriately.
- Perform administrative tasks for the sales department to ensure alignment with Efficy’s standards and goals.
- Identify and monitor public tender opportunities, oversee administrative tender documents, and ensure compliance with platform requirements.
- Manage and maintain Efficy’s registration and compliance on public procurement platforms to be up-to-date.
About YOU
- Bac+2/3 in administration, commerce, or equivalent, with at least 2 years’ experience in a structured administrative or commercial environment.
- Advanced proficiency in Excel (Microsoft Suite office), strong professional writing skills, and familiarity with CRM and/or invoicing tools.
- You are meticulous, proactive, and highly organized, excelling at managing multiple tasks with attention to detail.
- Customer-centric and committed to delivering high-quality service.
- Comfortable with CRM systems, you thrive in collaborative environments and are solution-oriented, eager to support business growth.
- Knowledge of public procurement processes is a plus.
- Fluent in French with professional working proficiency in English.
